How to Import a List of Teachers

This article applies to account administrators only.


Classwork.com administrators can import a list of teachers into their accounts. The import process will create new accounts as needed, and send emails to new users. If any of your teachers already have accounts, the system will find their accounts and add them to your subscription. All newly subscribed users will receive a Welcome Email from the system letting them know about their new status. The system will also unenroll any teachers who have left your institution since the last import.



Create the CSV File

To import a list of Teachers into your account, first construct a CSV file containing all the teachers. The columns we require, in the order they must appear are: Last Name, First Name, Email Address, Second Email, and Organization. You should use the template attached to this article as a starting point.


You must include ALL teachers, including those already imported. The system will remove the PRO status from teachers not included in your file.


The name you put in the "Organization" column must match exactly the Organization name in the Classwork.com system. That's the name you see in the Organizations list after clicking "Administration" below. This is useful if you're a district employee importing multiple schools. You can store the data in a single CSV and differentiate schools based on the Organization column.


PRO TIP: If you'd like to skip a row, remove the value from the Organization column. The system ignores any rows that don't have the correct Organization listed.


PRO TIP: All other columns will be ignored, so feel free to write notes in those columns.



Import the Teacher List

With your CSV file ready, sign in to the app and follow these instruction to import your Teachers.


  • Click the Administration link on the main menu.



  • Click the name of the organization for which you'll import Teachers.
  • Click "Import Users."



  • Click "Browse" to locate the CSV file on your computer, or drag and drop it on to the upload field.



  • Wait while your file is processed. This can take some time since the system is performing a dry run of your import to give you the most feedback on the correctness of your data.
  • If you've uploaded good data, you will see this message:


  • REVIEW THE ON-SCREEN MESSAGES AND COUNTERS to make sure you're adding, removing and modifying the expected number of users and that there are no unexpected warnings.
  • If everything looks good, click "Import Users."
    • If not, modify the CSV, then click "Upload a new file."
  • The users will be imported, and the scree will refresh to let you know it succeeded!



Warnings and Errors

Here are some of the messages you may see during the dry run.


MessageMeaning
Would cancel personal subscription for...The teacher has been paying for their own subscription. That personal subscription will be cancelled and the teacher will receive a refund for the remaining part of their subscription if they were paying annually (monthly subscriptions are not refunded).
Removing from license...This user is already attached to your subscription but is not in the import file. They will be removed from the subscription. This warning lists their last login date, so you can see if they'd recently used the app.
Two different users already exist for...You provided a primary and secondary email for one teacher. The teacher already has two different accounts, one under each email. Both will be added to your subscription. This may cause you to exceed your license size. If you'd like these accounts merged into one, contact [email protected].
No relevant rows in import data, skipping all steps.
or
No users in import, skipping step to deactivate missing users.
This usually means the name you put in the Organization column doesn't match the name of your institution in Classwork.com. Make sure the name in that column matches exactly the name you clicked prior to beginning the input. 
License teacher limit exceeded during import.
